You could alway smoke the ribs ahead of time then freeze them(natural tenderizer) then just warm them up on the grill. Still get the ambiance of the grill without the risk of something going wrong on the day of the event.
I just chalk it up a the cost of business. You have a lot better chance of getting the catering if you do not nickel and dime the client.
You could always go to your local culinary school and see if the class would be interested in helping for charity. Free labor
