Make sure you don't overmix the batter. This will cause the air bubbles to deflate and make your final product dense. Only mix until just pulled together and you can no longer see flour streaks.

My company uses Nutracoster, which does an ok job but is MUCH cheaper than outsourcing. It's not too complicated. I saw a company called Genesis at IFT last year and their software was AMAZING but a little costly.
My coworker went to one last year that she said was excellent. And I'm going to one in July (hot for Kansas). Should be worth the money.
